We’re looking for a highly organized, proactive Executive Assistant / Virtual Assistant to support senior leadership and help keep day-to-day operations, logistics, and priorities running smoothly. Executive Coordination
Manage and maintain calendars through scheduling, vetting, and prioritization of meetings and requests
Anticipate scheduling needs and ensure the executive is prepared with the appropriate materials and context
Coordinate logistical and lifestyle-related requests, including:
Making and managing dinner reservations
Researching and recommending restaurants, venues, and experiences
Coordinating appointments and time-sensitive arrangements
Build and maintain a trusted list of travel, restaurant, and hospitality resources
Project & Detail Management
Track, prioritize, and follow up on tasks, projects, and deliverables to ensure deadlines are met
Provide reminders and follow-through on action items and commitments
Prepare meeting agendas, take detailed notes, and ensure action items are completed
Support ad hoc projects and cross-functional initiatives as needed
Travel, Administration & Communication
Plan, organize, and follow up on domestic and international travel and itineraries
Assist in creating and supporting reports, presentations, and documentation
Handle informational inquiries and route requests to the appropriate parties
Maintain strict confidentiality, discretion, and sound judgment at all times
What We’re Looking For
3+ years of experience supporting C-Suite executives in a fast-paced e-commerce environment
Highly organized and resourceful, with a strong ability to anticipate needs
Proven ability to manage multiple priorities and shifting deadlines
Clear, professional written and verbal communication skills
Strong attention to detail and follow-through
Comfortable working with sensitive information and exercising discretion
Self-starter mindset with a willingness to step in and solve problems
- Comfortable using modern productivity tools (calendars, documents, spreadsheets, project trackers)
- Proficient in English, with strong written and verbal communication skills
Role Details
Coverage: We are hiring two Executive Assistants:
Role A: Core availability Monday–Friday, 9:00am–5:00pm Eastern Time (EST)
Role B: Core availability Monday–Friday, 9:00am–5:00pm London (UK) time
Flexibility: Occasional evening or off-hours support may be required with advance notice
